Shipping + Cold Storage

You can either ship directly to Clearwing's Phoenix Warehouse (who will handle complimentary transportation from their warehouse to and from your booth), or you can bring items in/out yourself via the front doors of the convention center during load in & out. 

AVL Expo does not have drayage fees.

 

Shipping to Clearwing Pre-Show

DO NOT ship any items to the convention center!

  • Any shipments arriving after October 29th may encounter trucking fees, or require logistical support from your team.

 

Shipping From Clearwing Post-Show

 NO SHIPMENTS MAY BE LEFT AT THE CONVENTION CENTER FOR PICKUP. 

Clearwing offers complementary transportation from the convention center back to their warehouse for shipper pickup. 

  • Clearwing will have basic shipping supplies on hand at the convention center (pallet wrap, tape, straps). However, due to the number of vendors we highly recommend bringing your own supplies for any outbound shipments. Save your pallets.
  • If you plan to ship outbound, you MUST attach a BOL or prepaid label to your boxes/pallets at the convention center to have these items picked up from Clearwing on or after 11/7. 
  • Clearwing's only regular pickup service is FedEx Ground. All other carriers must have pickups scheduled by you.
  • Clearwing is not responsible for scheduling or managing outbound shipments.

Load In & Show Day Assistance

Clearwing's team will be wearing "Clearwing" branded apparel along with red polos on show day. Ask any team member for assistance or visit the registration team if you need an extra hand.  

 

Exhibitor Schedule

Subject to change. 

  • Tuesday, November 4 | Load In
    • 5AM: Training Room Load In Start
      • Public trainings kick off at 9am in Hall B. 
    • 11AM: Expo Load In Start.
      • The "expo floor" is only open to attendees on day two (Nov. 5). 
    • 2PM: Badge Pickup Available
    • 5PM: Vendor Mixer presented by Clearwing
      • Exhibitors will join Clearwing's team and other industry reps for a show preview, networking, drinks and light bites.
    • 5PM: Breakout & Demo Room Load In Start
    • 10PM: Hard Stop / Venue EOD
  • Wednesday, November 5 | Expo
    • 8AM: Badge Pickup
    • 9AM: Expo Doors Open to attendees, breakout rooms begin to open.
    • 5PM: Event End of Day / Load Out
    • 9PM: Hard Stop - All exhibitor items must be out

 

Badge Pickup

Badge pickup begins mid-day during load in and continues the morning of the show. If you havent received a badge registration email, please see our registration team at the show.

 

Lead Generation

🚫 Don't see potential for a sales opportunity? Please don't create a lead. 

Instructions
1. Upon receiving your exhibitor badge, check your email and/or texts for a link to our badge scanner. Open the link on your mobile device or a tablet. 

2. Press "Tap To Scan A Badge QR".
3. Scan the attendee's badge QR Code. Upon successful scan, the interface will display the attendees unique ID number.
4. Fill out the lead description field. Be descriptive.
5. Enter YOUR email in the email field.
6. Submit lead. 
7. Scan another badge.

Troubleshooting

Badge wont scan: 
- Try adjusting the distance between the camera and the badge. 
- Try different lighting.
- Refresh the page in your browser.
- Ensure you are scanning from a mobile device or tablet. Computers won't work. 

Camera won't open:
- Make sure your web browser has permission to use your phone/tablets camera.

Camera won't focus:
- Refresh the page in your browser.

Doesn't work at all:
- Take a picture of the badge and send it with a brief description to Clearwing's monitored sms inbox: +1 (414)-404-5151

Lead Data Privacy
Every attendee at this event is already in Clearwing's database. When you scan a badge, a lead is created for Clearwing’s sales team to follow up with that attendee.

After the event, our team will connect with you as needed to schedule demos, gather specifications, manage project registrations, and ultimately complete the sale. To respect attendee privacy, we do not share leads or contact lists externally - however, we’re always happy to help you connect with individual attendees when sales opportunities arise with Clearwing. Remember, direct sales and opening of new dealer accounts at AVL Expo is strictly forbidden per the exhibitor contract. Clearwing must act as your dealer/distributor. 

 

Wifi

Venue Wifi is available for purchase for $50.00. Please add to your booth purchase or visit the registration team in the convention center lobby to purchase.

We average around 600~ attendees annually from the southwest market.

  • Most attendees are qualified to buy.
  • Backgrounds range from technical directors, producers, full-time a/v technicians and engineers, to volunteers, facility and venue managers, procurement officers, freelancers, students, & more.  
  • We see a range of markets from Production & Live Event Companies, Event Producers, Churches, Schools, Performing Arts Centers, Museaums, Themed Experience, Theme Parks, Casinos, Hotels, Resorts, System Integrators, Architects, General Contracts, Local and State Goverments and more. 
  • We typically see 100+ High School and College Theatre Students in addition to our regular attendees.
