Shipping

You can either ship directly to Clearwing (who will handle complimentary transportation to and from your booth), or you can bring items in/out yourself via the front doors of the convention center during load in & out. AVL Expo does not have drayage fees.

 

Shipping to Clearwing Pre-Show

DO NOT ship any items to the convention center!

  • Any shipments arriving after November 8th may require trucking fees, or require logistical support from your team.

 

Shipping From Clearwing Post-Show

 NO SHIPMENTS MAY BE LEFT AT THE CONVENTION CENTER FOR PICKUP. 

Clearwing offers complementary transportation from the convention center back to their warehouse for shipper pickup. 

  • Clearwing will have basic shipping supplies on hand at the convention center (pallet wrap, tape, straps). However, due to the number of vendors we highly recommend bringing your own supplies for any outbound shipments. Save your pallets.
  • If you plan to ship outbound, you MUST attach a BOL or prepaid label to your boxes/pallets at the convention center to have these items picked up from Clearwing on or after 11/18. 
  • Clearwing's only regular pickup service is FedEx Ground. All other carriers must have pickups scheduled by you.
  • Clearwing is not responsible for scheduling or managing outbound shipments.

Booth Configuration
  • AVL Expo is no longer a "table show" - we see exhibitors bringing 10x20's and large portions of their traveling booth setups. The only caveat is we do not offer overhead rigging.
  • We encourage attendees to get hands-on and ask questions. We kindly ask that vendors remain approachable, engage in conversations, and smile! 🙂
  • Standard 10x10 booths include a 6' table, 2 chairs and a single 20 amp circuit. Reference your booth agreement for booth specifications including size, additional tables, chairs and power. 
  • The convention hall lighting will be shut off during the show. Overhead lighting and general atmospheric effects are provided by Clearwing. If you need lighting adjusted, ask the Clearwing team.
  • Please be respectful of others when using any amplified audio, lighting effects, or other products.
Schedule: Load In (Nov. 13)

6:00 AM → 9:00 AM: Training Load In

10:00 AM → 8:00 PM: Expo Exhibitor Load In

  • If you choose not to pre-ship your booth items to Clearwing and opt to use a personal vehicle - you must use the front doors of the convention center to load in and out.

  • Pallets, deads, boxes, and booth supplies will be stored along the outside walls of the main hall. Do not block any fire doors or pathways. 

5:00 PM → 7:00 PM: Vendor Mixer •  Main Hall

  • Join the Clearwing team and fellow industry reps for drinks, appetizers, and networking at the tail end of load in! 
  • PS: It's a perfect time to show your new products to Clearwing's sales reps pre-show. 

5:00 PM → 8:00 PM: Training Load Out & Demo Room Load In

Schedule: Show Day (Nov. 14)

8:00 AM: Expo Hall Opens To Exhibitors

9:00 AM: Expo Hall Opens to Attendees

  • Please note: We expect heavy student traffic in the beginning and ending hours of the show. Most students will be attending an AVL 101 session from 10am - 3pm within the theatre room. During these times, expect the floor to consist mostly of industry professionals.

12:00 PM: Box Lunches Delivered

  • Clearwing's team will deliver your pre-ordered box lunch directly to your booth. Additional snacks and refreshments are available in the attendee lounge near the entrance to the hall. 

5:00 PM → 9:00 PM: Expo Floor Closed, Load Out

  • Please make note of the shipping instructions above.
  • If you opted to bring items in via personal vehicle, you MUST use the front doors of the lobby to load out.
  • If you opted to ship items to/from Clearwing, leave you packaged items/skids within your booth with associated labels applied. 
  • All booths must be broken down by 9:00 PM. If you need assistance, as a Clearwing team member. 

 

*The show office in Hall B is available if you need to take a break, a phone call, or have a quick meeting. See the registration team for access.

Exhibitor Badge Registration

Already purchase a booth? Your booth purchaser should have received an email with badge registration instructions. If you haven't received these, please contact Clearwing

  • Badge pickup begins mid-day during load in and continues the morning of the show.
Lead Generation

It's easy! Text the phone number on the back of your badge. Include a photo of the attendee's badge (or their name + company) along with a short summary of what they're looking for. 

To respect attendee data, we do not sell or distribute attendee lists.  However, Clearwing's sales team will work with you to make a connection and the sale happen post-show!

Aside from sending leads to Clearwing, you're also more than welcome to have a marketing email list sign up form or giveaways at your booth. 
Wifi & Internet Access Venue Wifi is available for purchase for $50.00. Please visit the registration counter in the lobby to purchase.
Travel & Lodging

The on-site Delta Hotels by Marriott Phoenix Mesa is our go-to lodging option. As of 10/1, the show's discounted room block is sold out.

Attendee Demographics

We average around 500-600 attendees annually.

  • Over 50% of attendees are qualified buyers.
  • Backgrounds range from technical directors, producers, full-time a/v technicians and engineers, to volunteers, facility and venue managers, procurement officers, freelancers, students, & more.  
  • We typically see 100+ High School and College Theatre Students in addition to our regular attendees. 
Concessions

Concessions are not open during the show. Rather, Clearwing offers a complimentary box lunch with your badge registration if registered before 10/31. Additional complimentary snacks and beverages will be provided within the attendee lounge, help yourself.

Please be aware, the venue has a strict no carry-in policy.

We typically see 100+ High School and College Theatre Students in addition to our regular attendees.

Load In & Show Day Help

Clearwing's team will be wearing "Clearwing" branded apparel along with red polos on show day. Ask any team member for assistance or visit the registration booth if you need an extra hand.
